This Privacy Policy explains how Newport Professional Firefighters Local 45 I.A.F.F., Inc. ("Local 45," "we," "us," or "our") collects, uses, and protects the information you provide when you register a team, sign up to bowl, sponsor, or donate through our online tournament pages. By using these pages and completing a payment, you agree to this policy.

Information We Collect

We collect only what we need to run the tournament and process your payment:

• Contact details — your name, email address, phone number, and (for sponsors) your business or organization name.
• Registration details — your team name, the names and t-shirt sizes of players you enter, and your lane selection.
• Sponsorship & donation details — the level you choose or the amount you give.
• Payment information — your card details are entered directly on our payment processor's secure checkout page (see below). We do not see or store your full card number, expiration date, or security code on our servers. We retain a record of each transaction, including the amount, date, payment status, the billing name and email associated with the payment, and a payment reference number from our processor.

How Payments Are Handled (Stripe)

All card payments are processed by Stripe, Inc. When you continue to payment, you are taken to Stripe's secure, hosted checkout to enter your card information. Stripe collects and stores that card data under industry security standards (PCI-DSS) and uses it to process your payment. Your card details pass directly to Stripe and are never stored on the Local 45 website. Stripe's handling of your information is governed by its own privacy policy, available at stripe.com/privacy.

How We Use Your Information

• To process your team registration, sponsorship, or donation.
• To send you a confirmation and a receipt for your payment.
• To organize and run the tournament — assigning lanes, ordering t-shirts, and checking teams in on event day.
• To recognize and thank our sponsors and donors.
• To keep accurate financial and recordkeeping for the organization.
• To contact you about your registration or the event if needed.

How We Share Your Information

We do not sell or rent your information. We share it only with the service providers that help us operate, and only as needed to provide their service:

• Stripe — to process payments.
• Our email provider — to send confirmations and receipts.
• Our website host — which stores the registration and donation records on our behalf.

We may also disclose information if required to do so by law, or to protect the rights, safety, or property of Local 45 or others.

Data Retention

We keep your information for as long as needed to run the tournament, provide receipts, and maintain the organization's financial records, and as required by law. Sponsor and donor recognition may be retained as part of our historical records.

Security

Our pages are served over a secure (HTTPS) connection, and card payments are handled by Stripe's PCI-compliant systems. We take reasonable measures to protect the information we hold. However, no method of transmission or storage over the Internet is completely secure, and we cannot guarantee absolute security.

Children's Privacy

Our online pages are intended for use by adults registering or sponsoring on behalf of themselves, a business, or a team. A team registration may include the names and t-shirt sizes of minors entered by a registering adult; that adult is responsible for providing this information. We do not knowingly collect personal information directly from children under 13.

Cookies

Our public registration and sponsor pages use only essential, functional cookies needed to keep your session working securely during checkout. We do not use advertising or third-party tracking cookies on these pages.

Your Choices

You may ask us to review, correct, or delete the personal information we hold about you, subject to our recordkeeping and legal obligations. To make a request, contact us using the address below.

Changes to This Policy
